How do I open a Venue? Follow
Introduction
Before any customers arrive at the venue, we need to ensure that all areas of the venue are ready. If it is not ready, there is a risk of impacting the customer experience.
This article can be used as a guide for an opening checklist.
Other Venue-Specific Amenities
Sign-In Tablets
What do we need to do?
We need to make sure that the Sign-In Tablets are charged, locked and secure. We also need to make sure that the Tablet-Load-in screen is open to the first session of the day.
Why?
The tablets are used to create player profiles for the customers and to agree to the liability waiver before their session. If they do not have profiles, they will not be able to play.
How do we do it?
The Tablet load-in should already be set up as an icon on the homepage of the tablet, all you need to do is to press the icon and it will open the first session of the day. If it isn't set up you will need to log into the Zero Latency Portal.
- Go to the Portal then enter your email and password.
- Go to the "Sessions page" and select the "Tablet Load-In" link. This will open the page.
Charge Controllers
What do we need to do?
We need to make sure that the controllers have a scheduled time for charging. A great time to do this is first thing opening the venue, so they can be charged and the charging units put away before operations start.
Controllers must not be charged while the venue is unattended. You should plan your charging while the venue is attended but outside operations (e.g. during venue setup and/or closure).
Warning
Never leave any controllers charging unattended (e.g. overnight). If the controllers are on charge while full, this can cause the batteries to discharge over time and damage the battery.
Why?
Having the controllers charged will ensure that the sessions can be run on time. If there aren't any controllers ready it will hinder the experience and time will be lost.

The Controller can take anywhere from 1-2 hours to fully charge depending on the remaining battery percentage. This can last up to 1-2 weeks on a full charge depending on usage.
How do we do it?
- Get the controller charging kits from storage.
- Lay them out so they’re in the middle of 4 controllers (as each charging unit can charge four controllers at once).
- Plug the controller charging set AC adaptor into the wall.
- Make sure the charger module is powered on, then plug the charging connector into the controller.
- The charger will "Beep" once and display the relevant information about the Battery. It will show the 1st cell voltage, the 2nd cell voltage then lastly, the total voltage.
- When the controller is fully charged, it will begin flashing the message “FUL” and beep once every five seconds. Unplug the controller from the charger and return it to operations.
Wearable Sets
What do we need to do?
We need to make sure the Headsets and controllers have their charging cables removed and put away, and their batteries are charged and ready. This goes for the active equipment and the spare units.
Why?
Having all the Wearable Sets ready without their charging cables attached will ensure they’re ready for customers to use without any cables getting caught in the process.
How do we do it?
Controllers
- Ensure controllers are charged.
- Check the controller charging unit.
- Make sure the controller battery is charged. If it did not charge, swap it for a spare set and tag it out.
- Remove the charging cable and place the controller charging kit in storage.
- Ensure the controllers are turned so the hand controller is on the left side.
- Ensure the strap is hung onto the hook for easy reach of players.
Headsets
- Remove the charging cable and plug it into the spare battery on the wall. Hide any excess cabling.
- Check that the battery charge is full.
- If it’s not full, replace it with a spare battery that is full of charge. Tag the battery out for investigation.
Wearable sets
- Ensure that the correct Controller and Headset are together on the top and bottom hook and that they have the same identification number.
- The headset identification number is the sticker on the front.
- The controller identification number is the patch on the side.
Headset Chargers & Batteries
What do we need to do?
We need to make sure that the chargers are turned on and charging the batteries. There are 4 bars each representing 25% of the battery. A bar will flash if that % of the battery is charging.
Why?
This is to ensure that the spare batteries will be charging and ready to be used in the event of a battery swap.
A single battery may take 60 minutes to charge from empty and should last around 120 minutes of gameplay.
How do we do it?
- Plug the charger into the battery and check that the battery light goes on.
- If this does not happen, check that the power point is turned on for the charger.
Game Master Station
What do we need to do?
We need to make sure that the Game Master PC is powered on with the launcher running on one screen and the Portal Dashboard on the second screen.
Why?
Having the Launcher and Dashboard ready will allow an easy transition to begin the game for the customers.
How do we do it?
To open the Launcher:
- Double-click on the launcher icon on the desktop.
- The launcher will then open.
To open the Dashboard:
- Go to the Portal then enter your email and password.
Safety Briefing
What do we need to do?
Power on the Briefing PC (Front of House Machine) and ensure all the presentations are open and ready. We must ensure the keyboard, mouse and clicker are working.
Why?
Having the presentations ready will ensure the Safety Briefing begins on time and allow for an easy transition into the suit-up process.
How do we do it?
- Click on each presentation on the bookmarks bar.
- Press F11 to open in full screen or click on the fullscreen button.
Scoreboard (Optional)
What do we need to do?
If your venue has Scoreboard TVs set up, ensure that these are turned on and it is presenting correctly.
Why?
Having the scoreboard open, it will allow customers to see their scores after the session.
How do we do it?
- Open your TV's web browser.
- Navigate to the Portal.
- Go to the "Sessions page" and select the "Scoreboard" link. This will open the page.
- Press F11 to open in full screen.
Spectator
What do we need to do?
We need to make sure that the spectator machine and TV are powered on and ready.
Why?
Having the Spectator PC ready will allow anybody waiting in the front lobby to see the current game.
How do we do it?
- Ensure the spectator machine is powered on.
- The application will automatically open up in spectator mode.
Testing
What do we need to do?
We need to make sure that we test at least two Wearable Sets.
Why?
Testing is important as it will ensure the system is running smoothly. If there are any issues, it gives the Game Masters time to call Support if need be.
How do we do it?
- Power on the controllers and headsets. Move around in the lobby. Make sure it is tracking well and that the controller works before the customers arrive.

We need to make sure that all the other amenities are ready, (bathroom, lights, drinks, food etc).
Why?
This will ensure a smooth customer experience.
