How do I Conclude the Experience? (Small Scale Arena) Follow
Introduction
The goal for The Debrief Process is to gracefully see players out as quickly as possible so you can help your fellow Game Master prepare for the next session.
This is an essential piece of the process as it is the last part of the experience and we need to make sure that the customer leaves the venue on a positive note while preparations for the next sessions are being done.
Concluding the Session
- After the players have removed and placed their equipment on the wall, the Host must direct players to the debriefing area.
- Depending on your Venue Layout and Operational Flow, this may be in the same room, lobby area, or in another location within the venue.
Game Master's Duties
Preparing equipment for the next session
- After the group leaves the Doffing area, the GM can start to prepare the equipment and gamespace (as long as there is not another session commencing) as per the article How do I prepare a Session?
- Once the Game Master has farewelled the players, the next group may have started arriving at this point, or earlier. The GM can introduce themselves and guide them to the Sign-in Tablets and begin the briefing video.
- The GM can now clean the equipment, if they haven't already.
Upsell and see the group off

Game Scores - The Host should show the scoreboard to the customers and inform the players that their game results and a survey has been emailed to their player account.
- This is great opportunity to shout out to the high achievers on the scoreboard and wish the others better luck next time.
- Encourage them to complete our survey - Let them know that you would love for them to complete the survey.
- Upsell other games, corporate events, and/or gift vouchers - Recommend other games and invite them to return for another experience. For example, ask if they’d like to rebook into the next available session time, or for a session on a different date.
- Ask players if they would like to purchase food, drinks, merchandise etc - If food, drinks, merchandise are available at your venue, escort/let the players know.

Leave a review, follow us on social media, say goodbye, then go help prepare the next session - Invite all players to leave a review on either Google, TripAdvisor or Facebook sharing how they felt about the overall experience and to shout-out their Game Master if they enjoyed their customer service.
- Promote relevant social media channels including Facebook, Instagram, Twitter, LinkedIn, etc.
- Let players know they can leave when they’re ready and allow them time to debrief with each other.
Customer Exit
- When the customer is ready to leave, walk them out of the Doffing/waiting area and conclude the experience - Walk them to the exit only if time permits.
- If time is needed, you can inform them of where the exit is while they are debriefing with each other.
