Who can use Gift Vouchers?

Gift Vouchers are available to:

• venue users with "Gift Vouchers" user permissions.
• venues using Stripe or PayPal payment gateway providers in the booking system.

If you do not have access to this feature, please speak to your Operations Manager.

How do I access the Gift Voucher settings page in the Portal?

• Click the "Settings" button.
• If you have been given access to the "Admin" and "Gift Voucher" user permission, you can select "Gift Vouchers".

How do I activate Gift Vouchers for my venue?

• To enable Gift Vouchers at your venue, tick this button. 

  

• The Portal will ask you to enter the Minimum Amount and Maximum Amount. Entering figures here will set the "Custom Amount" field on the website.
  • The Minimum Amount refers to the smallest dollar value a customer can buy a gift voucher for e.g. a customer cannot buy a gift voucher that is less than $20.
    • By default the minimum amount is set to 20 in the local currency used.
  • The Maximum amount refers to the highest dollar value a customer can buy a gift voucher for e.g. a customer cannot buy a gift voucher that exceeds $1,000.
     
    • By default, the maximum amount is set to 1,000 in the local currency used.

• To fix the cost of a ticket, enter the Gift Voucher Ticket Amount.
• Our system will automatically multiply the fixed amount for up to 8 tickets. This makes it easy for customers to identify how much a single ticket costs and decide how many tickets they want to purchase for the gift voucher.
• Ensure it is your site's highest ticket amount and includes tax.

• To set the Gift Voucher expiry duration, enter the Expiry Years.
  • If you do not want it to expire, leave it blank.

• When you have completed these settings click on the "Save" button. The website will now reflect the changes.

How do customers purchase a Gift Voucher on the Booking System?

• To purchase a Gift Voucher, click on either the "Gift" or "Book Now" button on the Zero Latency website.

• You will be redirected to the Zero Latency booking system.
• Choose the Zero Latency location where you would like to purchase a Gift voucher.

• Click on the "Gift Vouchers" button.

• Select the Gift Voucher amount or enter a custom amount.

• Choose the recipient, and then enter the details.
  • Option "Send tickets to me" will send the Gift Voucher to the person making the purchase.
  • Option "Send tickets to recipient" will send the Gift Voucher to another email address. 

• When completed, click on the "Checkout" button, this will take you to the next page finalising your details in Checkout.
• The Checkout process will ask for your contact and payment details. The Terms of Service and Privacy Policy are also linked here.

• Once payment details have been completed, click the "Pay $xx.xx" button.

How do I create a Gift Voucher within the Portal?

There are two ways you can make a Gift Voucher within the Portal:

1. Click on the "New Gift Voucher" button.
2. Select Gift Vouchers from the side bar > All Vouchers > Add Gift Voucher button. 

• You must complete all the fields (Expiration Date, From Name, From Email, To Name, Recipient email Address and Credit).
• Once you are ready, click on the "Save" button.

Important Information

• All fields must be completed.
• Details can be the same for both "To" and "From" text fields.
• Gift vouchers are treated as cash transactions, so please ensure to finalize payment prior to creating a Gift Voucher for a customer.

How do I create Gift Vouchers in Bulk within the Portal?

Gift Vouchers Batches are a great way to create a large number of Gift Vouchers for third party travel and entertainment services like Groupon, Costco etc.

To get started with Gift Voucher Batches

• Visit Gift Vouchers in the portal,
• Then press Gift Voucher Batches to reach the Gift Vouchers Batches menu.

The menu shown above allows you to see which Gift Voucher Batches have historically been created.

To create a new batch of Gift Vouchers:

• Press New Gift Voucher Batch button
• Fill in the below details
• Press save to complete

Field	Description
Name	The name for the batch of Gift Vouchers
Type	When the revenue is realised: Activate Now: Revenue realised when created Activate on use: Revenue realised when used Activate Manually: Revenue realised for each voucher when manually activated
Code Count	The number of codes you want to generate
Codes	Here you can manually enter codes (comma separated), if they have been created for you by a third party
Expiration Date	When do created codes expire?
Credit	How much value each voucher holds
Amount Due	The price being paid for each voucher

You can also export created codes, by:

• Visiting the created Gift Voucher Batch
• Pressing on Export to CSV button

How do I redeem a Gift Voucher in the Portal?

• Gift Vouchers can be used to make a booking on the "New Booking" page or the Booking System.
• The Gift Voucher code can be typed into the "Discount Code" or "use a Gift Voucher or Code" field and the value will be deducted from the Booking Total.

How do I cancel a Gift Voucher?

To cancel a Gift Voucher...

1. Open the ZL Portal in your web browser. Its URL is https://portal.zerolatencyvr.com/.
2. Once on the ZL Portal, select the [Gift Vouchers] button: from the left-hand menu. See illustration, below...
    
    
    
3. On the 'Gift Vouchers' page, click on the Voucher Code: to open it for editing. See illustration, below.
     
    
    
4. If the voucher to be cancelled was not already be displayed, the filters below the 'Search' field may be used to find it. Alternatively, enter a term or terms for which to search into the 'Search' field. See illustration, below.
    
    
    
5. On the 'Edit Voucher' page, click on the 'Expiration Date': to open the Date Selector. See illustration, below.
    
    
    
6. Select an 'Expiration Date' which has already passed. Once saved, this should immediately expire the Gift Voucher.
7. Once the 'Expiration Date' has been changed, click on the [Save] button, in the lower-right corner of the page

A new search for the Gift Voucher to be cancelled should now show its status as "Expired".

What happens to the residual value of a Gift Voucher?

• Any residual value of the Gift Voucher will remain on the Gift Voucher. Therefore the same code can be used until there is no value left.
• After using a Gift Voucher an email will be sent stating your
  • Starting balance
  • Amount deducted
  • Updated balance
  • Expiry date

How do I view Gift Voucher sales?

• You can view your Gift Voucher sales from the Finance report, in the Portal.

• To view the Gift Voucher sales, follow the "Reports Overview" article.

You can only view a daily sales report.

Things to consider

• Once a Gift Voucher has been purchased, it is not possible to change the value of a Gift Voucher in the Portal.
• Expiry dates vary by region. Each site should do their due diligence on the legal limits/minimum for a Gift Voucher expiry date. In Australia, the minimum is 3 years. In the US laws differ by state and federally. 
• Gift Vouchers are only valid at the site they are purchased from.
  • They cannot be used at a partner site of a multi-venue client.
  • They cannot be transferred to another venue.
• A Gift Voucher can be used until there is no value remaining. An email is sent with a balance update until all value is used. Once no value remains, the code becomes useless and will not be accepted during booking.
• A Gift Voucher cannot be refunded. 
• There are 2 emails sent related to Gift vouchers;
  • Receipt of purchase
  • Digital Gift Voucher
